Challenge

Across regulated financial services, compliance review has stayed largely manual long after most other back-office functions started automating. The reasons are structural rather than a lack of ambition. Every decision has to be explainable to a regulator after the fact. Every process has to survive an audit. And the team responsible for signing off on any new system is usually the most cautious in the business about adopting one, for good reason: getting it wrong has real regulatory consequences.

This particular firm, a large bank, reviewed mortgage applications by correlating bank statements against declared income entirely by hand, across multi-document cases that required cross-referencing figures from several sources at once. Each case also needed more than 200 individual disclosure checks, applied slowly and inconsistently depending on who was reviewing it. That combination, manual cross-document reasoning plus a long compliance checklist, made every review cycle both slow and hard to standardise.

Solution

NexaQuanta built an AI application for intelligent document processing, combining natural language processing, machine learning, and OCR to ingest and understand every document in a mortgage case at once. The system automatically correlates transaction data against applicant-declared figures and validates all 200-plus disclosure requirements, producing a full, timestamped audit trail for every case.

The application runs on a Python and LAMP stack, deployed on Red Hat Linux with OpenShift container orchestration in a private cloud. As with every NexaQuanta deployment in a regulated environment, every decision the system produces is fully traceable, since that is the standard the bank’s own compliance function has to meet.

Results

Compliance review time: 40% reduction per mortgage application.

  • 200+ disclosure requirements validated per case, with a full timestamped audit trail.
  • Consistent, repeatable validation across every case, removing the variance of manual review.
  • Reduced regulatory exposure, since correlation and disclosure checks that used to depend on individual reviewers now run the same way every time.

What this means going forward

This wasn’t an AI pilot that impressed in a demo and stalled at review. It shipped and stayed live, cutting real time out of a compliance process that used to depend on manual cross-referencing across scattered documents. For a large bank, that’s the distinction that matters: not whether AI can automate a workflow, but whether it can do so in a way the firm’s own compliance function is willing to stand behind.
